Accounts Payable Specialist

Customers include research scientists at pharmaceutical and biotech companies, food and agriculture, personal care, fine chemical companies and scientists at major academic and government life science research centers.


We are seeking an Accounts Payable Specialist responsible for general accounting with focus on full cycle of A/P (process vendor invoices, reconcile A/P accounts, review/approve employee expenses, etc.).


  • Responsible for all accounting work necessary to ensure accounts payables are processed in a timely and efficient manner.
  • Accountable for investigating and resolving issues associated with processing of invoices and purchase orders.
  • Ensure accurate coding and GL posting of all expense items.
  • Responsible for processing payments in accordance to payment terms.
  • Assist with monthly status reports and monthly closings as needed.
  • Responsible for the accurate processing and reconciliation of inter-company A/P invoices.
  • Support fixed asset management by identifying capex invoices and ensuring proper entry in ERP.
  • Responsible for reviewing and reconciling AMEX purchasing card transactions in accordance with company guidelines and policies.
  • Handle a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.
  • Review and audit all employee travel expenses for compliance with the company’s travel policy and prepare associated reports for monthly journal entries.
  • Regularly update finance manual for all A/P procedures.
  • Responsible for the maintenance and distribution of accounting documents, records and reports.
  • Perform other general accounting duties as assigned.


To perform this job successfully, an individual should demonstrate the following competencies:

  • Two-year degree from an accredited college or university in accounting or other related fields with two to five years relevant experience working with accounts payable; or equivalent combination of education and experience.  Desire candidate would have four-year degree in accounting.
  • Strong accounting and math aptitude.
  • Strong problem-solving skills.
  • Effective written and verbal communication skills.
  • Strong proficiency with Microsoft Office applications – Ability to perform advanced excel functions.
  • Prior experience working with ERP systems.
  • Working knowledge of web-based expense management systems preferred.


While performing the duties of this job, the employee may infrequently lift and/or move up to 25 pounds. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to walk. The employee is occasionally required to stand; climb or balance and stoop, kneel, or crouch.

Work Environment

Office based in a cubicle; the noise level in the work environment is usually low-moderate.
